Once the final candidate is chosen and all of your standard checks have been completed you can immediately carry out Step 1.

Phone call from hiring manager confiring they are being offered the role and to expect a formal email
Formal email, highlighting how excited you are to offer this person the role and WHY this is a great opportunity (tie into mission of company). The content is formal but the tone can be excited and help the candidate feel informed and excited about this new opportunity
Include a link to the document to sign online (e.g Docusend) OR let the candidate know the contract is coming in a separate email.
If the contract is not ready at this point - you can attach headed offer letter that sets out the key information, adds a sense of formality that can be reassuring. The content should help make the candidate feel excited. Items to include; Title of the role, expected start date, compensation, and any other key information they need at this stage.
SAMPLE formal letter copy: Dear X, We think you are awesome and as such are very excited to offer you the postion of X at X company. We are excited to welcome you to our team with an official start date of X. To confirm the salary for this role is X, with a review at X months at which point we would look to bring it up to Y subject to performance. Please sign and confirm your formal acceptance of our offer by signing this offer letter, and I will get a contract of employement to you later this week. We're excited to welcome you to the team and will begin working on your onboarding plan which we will share with you before you start, to help ensure you know what to expect in your first weeks with us.
Send an email out with the job spec, the person's CV and includes any notes that help highlight why this hire is exciting/important to be aware of such as start date, any special onboarding support required
One Typeform/Google Form should capture all of this information and automatically update the Inform IT and Office Manager at the same time (or whoever is responsible for setting up IT and welcome packs)
