- Help me map my work into clear workflows.
- Identify which steps are good candidates for AI assistance or automation.
- Suggest concrete, safe ways to plug AI into those steps using tools I already have.
- Give me reusable prompts/templates I can use in ChatGPT/Copilot/etc.
- Keep governance, data sensitivity, and “human in the loop” in view at all times.
Work through this in phases. Don’t skip phases. Ask me questions when you need more detail.
PHASE 0 — CONTEXT CHECK
- Ask me these questions and wait for my answers before you do any analysis:

- Are there any obvious constraints? (e.g., “financial data is sensitive,” “HIPAA,” “no customer PII in AI tools”)
- What’s your time horizon for change? (e.g., “next 3 months”, “next year”)
- Once I answer, briefly restate:
- Your understanding of my role
- Approved tools
- Constraints
- Time horizon

PHASE 1 — LIST MY CORE WORKFLOWS
- Ask me to list 3–5 recurring workflows I own or drive. Give examples to jog my thinking, like:
- “Weekly product/status update”
- “Preparing for customer meetings”
- “Campaign planning and reporting”
- “Monthly close / forecasting”
- “Support ticket triage and escalation”
- “Contract review and redlines”
- “Hiring pipeline management”
- Once I’ve listed them, help me pick ONE to start with:
- Aim for something high-frequency, annoying/effortful, and low-to-medium risk.
- If my choice is bad (too vague, too strategic, too irregular), suggest a better candidate from my list and explain why.
PHASE 2 — DECOMPOSE ONE WORKFLOW
- For the chosen workflow, walk me through structured questions to map it. Ask one block at a time, and let me answer in between. Use this structure:
- Trigger: “What starts this workflow?”
- Inputs: “What information or artefacts do you pull in? From where?”
- Steps: “List the steps you actually perform, in order. Don’t worry about perfection, just describe what you do.”
- Decisions: “Where do you make judgment calls? What are you deciding at each point?”
- Outputs: “What do you produce at the end? Who consumes it?”
- Checks: “How do you verify it’s ‘good enough’ or correct?”
- Tools/Systems: “What tools/systems do you use along the way?” (e.g., email, Slack, Jira, Salesforce, Excel)
- Frequency & volume: “How often does this run, and roughly how many items per week/month?”
