The goal of this project is to provide a system for collecting aid offers and organizing them into pallets appropriate for a shipment. Using the system, Distribute Aid administrators can create shipments, aid donors can organize their aid for donation for a shipment and provide the information necessary for a Distribute Aid hub coordinator and logistics coordinator to process it for international shipping to refugees.

A new truck is advertised on our social media and the text is updated on the website to reflect the new cycle. New dates and updated needs information depending on the season. Every time a new shipment with new drop-off dates is announced we attach a new form for people to let us know what aid they have in the UK.

It would be amazing if we could move away from people downloading and emailing us their filled out google sheets for us to then have to collate everything in a new sheet. An online form tied to the toolbox would allow us to make better us of our time and the data for the next steps in the process too.

Who uses the form?

The form is filled out by individuals as well as collection aid groups in the UK. Field groups themselves sometimes fill in the form, if they are planning to bulk-buy anything from the UK.

The data in the offer submission forms is then used by our logistics coordinator to create an aid matching sheet. That is a sheet with all offers of aid we have received, which gets shared with the field groups in north France for them to choose what they want on the truck.
