Basic Account

To set up a Zoom meeting, sign up for a free basic account using your Medic email address, and share the link for your "personal meeting room" with your participants.

Note: on a Basic account, meetings are capped at 100 people, and meeting durations are capped at 40 minutes. If you need to be able to organize calls longer than 40 minutes or want to use Zoom premium features (such as recording meetings), reach out in #internal-ops to request access to an existing or new licensed account.

Licensed Account

We have a limited number of (paid) licensed accounts distributed across the organization to leaders, senior managers, and admin roles who need to be able to use Zoom’s advanced features including meeting recording. If you need a licensed account, request support in #internal-ops!

Important tips and tricks for licensed users:

  1. Remember to sign in to Zoom from your Medic account to use the licensed features! Often, Zoom will sign you in on your personal account depending on your default browser or app settings.
  2. Customize your account settings on the Zoom web portal such as removing passcodes or waiting rooms ****to make participation easier
  3. Remember to hit record (to the cloud) at the start of the meeting when needed! Two ways to do this:
  4. Mute participants upon entry, especially in larger group calls. This will prevent unnecessary distractions. Two ways to do this:
  5. Add a co-host when scheduling a meeting to help you operate breakout rooms, manage participants and support you with any technical difficulties
  6. Use Shortcuts!
  7. If you’re not a regular host, be prepared in case of technical difficulties:
    1. Log in to your Zoom link beforehand to make sure everything is working fine
    2. Test out the link with a colleague in advance, especially for high-stakes meetings, and
    3. Have a backup plan, such as a different link Zoom link set up by a regular licensed user at Medic, or a google meet link!
