TOPIC:Wholesale Order & Inventory Management System
SECTOR: Food Production / Wholesale Bakery Distribution

The Challenge
The bakery operates primarily as a wholesale distributor, supplying products like bread, cookies, cakes, and chin-chin to multiple retail businesses.
However, order management and production coordination relied heavily on manual communication and informal tracking.
As the number of vendors increased, managing orders, inventory, and production planning became increasingly complex and time-consuming.
Key operational challenges included:
- Orders coming in through calls and messages scattered across WhatsApp.
- No centralized system to track customer orders.
- Production planning relied on estimates rather than real demand.
- No structured visibility into which customers ordered what and when.
- Inventory levels were not automatically updated when orders were placed

The Solution
I designed an AI-assisted order and operations management system that centralizes wholesale orders, automates inventory updates, and provides operational visibility across sales and production.
Key system capabilities include:
- AI order agent that allows vendors to place orders through chat
- Centralized order management system for tracking all wholesale requests.
- Centralized order management system for tracking all wholesale requests.
- Stock alerts when inventory levels fall below defined thresholds.
- Production planning dashboard showing total product demand for each day.
- Customer order tracking for wholesale clients.
- Sales and product performance dashboard.

😡
Before
- Missed or delayed deliveries because orders were scattered across platforms.
- Product waste from overproduction because baking decisions were based on rough estimates.
- Lost sales opportunities because the team couldn’t quickly see incoming orders.
- Weak visibility into customer demand because there was no structured record of wholesale client orders.

😃
After
- Reliable order fulfillment because all orders are captured and organized in one system.
- Better production accuracy because baking quantities are based on confirmed orders.
- Faster order handling because orders are automatically recorded and tracked.
- Clear customer demand visibility because every order is stored and tracked.

Business Impact
- 60–70% reduction in time spent organizing orders.
- 20–30% reduction in product waste from improved production planning.
- Higher wholesale order capacity without increasing administrative workload.
- Improved reliability with vendors, reducing the risk of lost clients.
