Position Title: Director of Operations (Volunteer)
Reports to: Founder
Time Commitment: ~5–10 hours per week
Role Overview
The Director of Operations is responsible for building and maintaining the organizational systems that enable the mission to function smoothly and sustainably. This role designs and manages operational infrastructure, runs internal meetings, tracks commitments, and ensures that projects, staff, and volunteers are supported through clear processes and documentation.
This role is foundational. It prevents bottlenecks, reduces founder overextension, and ensures that nothing falls through the cracks.
Core Responsibilities
- Systems Architecture
- Design and maintain project management infrastructure (e.g., Notion).
- Create clean, intuitive workflows for task tracking and collaboration.
- Develop and document Standard Operating Procedures (SOPs).
- Reduce single-point-of-failure risk by ensuring processes are transparent and documented.
- Meeting Leadership & Coordination
- Design agendas for recurring meetings.
- Facilitate efficient, focused team meetings.
- Capture action items and ensure follow-through.
- Maintain a culture of accountability.
- Workflow & Accountability
- Track deadlines and commitments across roles.
- Ensure task visibility and clarity.
- Prompt follow-ups when necessary.
- Help manage workload pacing to avoid burnout.
- Operational Support
- Assist with bookkeeping systems and financial tracking processes (in coordination with Founder).
- Help develop scalable systems for volunteer onboarding and role clarity.
- Support development of tracking metrics if appropriate.
- Founder Support & Scope Management
- Provide constructive pushback on unrealistic timelines or scope expansion.
- Help prioritize initiatives in alignment with strategic goals.
- Act as a stabilizing force during periods of rapid idea generation.
Authority & Boundaries
- May recommend timeline adjustments and process improvements.
- May prompt accountability across teams.
- Major strategic priority shifts remain with Founder.
- Does not override scientific standards or content decisions.
