Paste the contacts you exported from Looker Studio into this spreadsheet: ‣

  1. Remove contacts we’ve emailed before (optional) → if you want to email only users we’ve never spoken to, you can check if anyone in the list you just pasted has already been emailed:

    1. Once you’ve pasted your contacts in, column F (titled “already emailed?”) will check if they’ve been email before by looking up their email in column A and seeing if it exists int the tab “all” which contains everyone we’ve emailed previously (be sure to update this tab as you go so this process continues to work for future checks)

    2. If we’ve emailed them, the cell will show their email (a match), otherwise it will just return “no”

    3. Filter the list so it only includes people where their email matched and delete those rows

    4. This leaves only people with “no” in column F → people we’ve never emailed asking to talk with us

  2. Send email from Zapier

    1. Log in to Zapier (credentials in Nordpass)

    2. Go to the Product folder and then into the “User research emails” zap

    3. Prepare the Zap 💬

      1. Trigger step - an updated row in spreadsheet → here you just need to change the worksheet/tab to the your new one

      2. Action step - send email in Gmail → you can update the copy or re-use what’s already there (NPS specific)

    4. Test the Zap

      1. You can test the Zap by adding a row with your own info to the tab
      2. Once the info is added, type a word into the column “Sent”
      3. This will send an event to Zapier → go back to the trigger step of the zap to the test section and click “find new records”
      4. Once your record is found, go to the action step with gmail and again to the test section where you can fire a test email

    5. Set it live

      1. Once tested etc, you can hit publish to make it live
      2. Once it’s on, you can then type a word into the “Sent” column for all users to trigger it for all of them

    6. Check for rate limit

      1. Because we don’t have a more expensive Zapier plan, sometimes the emails won’t all send because of the volume of emails. In this case, you can check the Zap history and re-trigger any that didn’t send (they’ll have a status of paused or blocked or something)
