Session Objective

Assess Trent Burns' caseload for files that should be settling or settled, files that should move quicker, referral/disengagement candidates, finish-line actions, and early quick wins. The target context was that Trent's load is about 35 matters over where Sam wants it.

What Was Accomplished

• Confirmed live LITIFY_ORG access and resolved Trent Burns to active user 0055e000005xgfkAAA.
• Built a read-only extractor at /Users/samaguiar/Documents/Projects/Repos/sail-litify-hub-mdt/Litify_AI_Integration_Project/scripts/build_trent_caseload_triage.py.
• Generated /Users/samaguiar/Documents/Projects/Repos/sail-litify-hub-mdt/Litify_AI_Integration_Project/analytics/trent_caseload_triage_2026-06-03/.
• Rendered the Data Analytics report Trent Caseload Triage - June 3, 2026.

Key Findings

• Trent has 165 open matters in live Litify.
• Priority split: 65 P1, 43 P2, 23 P3, and 34 Monitor.
• Stage pressure: Treatment 65, Negotiation 44, Resolution 21, Litigation 16, Demand Preparation 12, Trial 3, Intake 3, blank 1.
• Bucket pressure: 27 finish-line settlement/resolution cleanup, 40 negotiation movement matters, 44 demand/treatment speed-up matters, 4 referral/disengagement review matters, and 42 early admin quick wins.
• Drive coverage is the biggest infrastructure gap: only 15 of 165 Matter records have Case_Folder_Google_Drive__c populated.

Spot Checks

• Loren Koebel had a linked Matter Drive folder with expected case folders and a Closing folder containing BI Release (Loren).pdf.
• Kyle Jett had no Matter Drive link, but Drive search found a Kyle Jett folder.
• Ashley Strange had no Matter Drive link, and Drive search found duplicate folder candidates, so this needs a reviewed match queue before any bulk update.
• Nathan Curtis had no Matter Drive link, but Drive search found Curtis, Nathan 111624 with Closing files, checks, reductions, and closing spreadsheets. Outlook search also found a June 1 ARC-list reference for Nathan Curtis medical records and bills.
