This travel policy applies to travel on behalf of the Congruence Engine project including attending workshops and conferences. We can cover travels via train, bus, taxi, or mileage (if you drive); accommodations; and meals (if you have to cover out of pocket).
- Following SMG travel policy, meals are reimbursed at the following rate: breakfast £7.50, lunch £10; dinner £20. We cannot reimburse alcohol consumed with any meal.
- We manage travel via rail etc. and accommodations through Corporate Travel Management (CTM) system for Congruence Engine. We are obliged to use CTM as it complies with SMG procurement policy and the transactions on CTM are also monitored by our finance systems. Please make sure you contact Nina and Carol to arrange bookings.
- Please make sure you have relevant information i.e., railcards, departure stations, dates, special requirements with you when you contact us for a booking.
- Please give at least three business day notice for any bookings. Short notice will result in higher fares and less flexible tickets, which is not good for the project budget!
- You may be able to use an external claim form to claim expenses e.g., meals, mileage, taxi, but this form can only be used once. You will then need to be set up as SMG supplier to claim other expenses. The supplier set up processing time is 3-5 working days. We do not advise reimbursement for rail travel or hotel bookings through this process.
- People employed on the project are normally expected to pay for travel to their core workplace (‘commuting’). We recognise that it is cheapest in terms of fares for those who work at some distance from their core workplace if any meetings are scheduled to start after 11am. Where circumstances require early morning or late evening attendance, we will consider the project bearing the cost, in which case, please apply as in the next bullet point.
