SignEasy streamlines document signing and management across devices. Since businesses depend on it daily, providing a seamless, fast, and intuitive user experience is essential. My goal was to design a tagging system that simplifies document organization, improves search capabilities, and fits naturally within the platform.

Introduction

• SignEasy simplifies signing and sending documents from any device. • Many businesses rely on it daily, making speed and ease critical for the user experience. • My goal was to design a tagging system for better document organization.

Objective The solution needed to:

  1. Allow users to create, view, and reuse tags.
  2. Enable tagging for any document, anytime.
  3. Make tags searchable alongside existing search options.
  4. Quickly categorize documents with tags.

Discovery • Researched competitor tools like Google Drive and Evernote. • Identified patterns in how labels and tags enhance organization. • Understood SignEasy’s user base and the need for simplicity.

Pain Points Identified • Excessive white space and unnecessary icons clutter the UI. • Search bar lacked prominence, affecting usability. • Status indicators needed improvement for better clarity.

Design SolutionNew Tagging Feature: ◦ Users can add, remove, and reuse tags on documents. ◦ Tags categorized documents efficiently. ◦ A "Tags" page was added for managing tags. • Enhanced Search Bar: ◦ Moved to a more prominent position. ◦ Introduced autofill and multi-select features for faster searches. • UI Improvements: ◦ Compact analytics indicators for better space management. ◦ Hover tooltips for signatories added clarity. ◦ Status chips redesigned with filled layouts for distinction from tags. • Favorite Tags: ◦ Drag-and-drop functionality for managing commonly used tags. ◦ Unique color coding for favorite tags.

Prototype • Presented a fully interactive prototype to showcase the solution. • Demonstrated how tagging integrates seamlessly into the workflow.

Key Considerations • Designed for scalability with room for additional analytics features. • Assumptions: Existing user behaviors align with tagging needs. • Balancing simplicity with powerful functionality was crucial.

This case study demonstrates my expertise in reimagining and restructuring complex systems to create more intuitive user experiences. Through methodical user research, in-depth competitor analysis, and carefully considered design iterations, I developed solutions that balance sophisticated functionality with user-friendly interfaces. The project showcases my systematic approach to design challenges: beginning with thorough research to understand user needs, analyzing competitor solutions to identify best practices and opportunities, and implementing thoughtful design iterations based on user feedback and testing results.
