🧠How to Use This Standard Operating Procedure (SOP)
Use this SOP whenever you're preparing to send a verbal update, or message on a Zoom recording, or in a meeting. It helps you structure your content, adapt your tone, and demonstrate executive presence.
⏰ When to Use This SOP
- Before sending a verbal or written update to clients or teammates
- When preparing asynchronous or live communications
- Anytime clarity, brevity, and confidence matter
🪜 Steps
In Module 4, you practiced making written work clear and polished. Now, you'll apply those same standards to spoken updates. How you speak about your work, clearly and confidently, matters just as much as how you write it.
Expand and review each one carefully.
Step 1: Speak clearly
- Speaking with clarity and brevity
Step 2: Plan your message
- Structuring key updates and “asks”
Step 3: Deliver your message
- Matching tone and delivery to audience
⚠️ Watch Outs
- Don’t send unstructured messages. Use the “Context → Content → Call to Action” format to keep your message clear and focused.
- Don’t forget to make the next step obvious. Whether you're flagging a decision point, confirming alignment, or proposing an action, ensure your audience knows what’s expected of them.
- Don’t forget to tailor your tone and delivery to your audience. A message to a peer should sound different than a video update to a client.
