Responsibilities:
Administrative & Operational Support
- File all reports (Service, Job, NDT, and inductions) onto the server in a timely and organised manner.
- Maintain and update system registers for the BMU division (Tools, Inductions, Passwords, Training Records, etc.).
- Create quote templates from service/job reports.
- Update defect tracking registers based on service reports.
- Maintain and update Simpro: attach reports, close jobs, convert jobs, and update status.
- Generate and issue purchase/work orders for materials via Simpro.
- Upload SWMS documents and ensure returned SWMS are correctly filed.
- Maintain server file structure and ensure information is logically stored and easily accessible.
- Coordinate employee monitoring checklists and registers with the management.
- Monitor and update call-out and quote KPI registers.
- Create and format site documents (e.g., operating instructions, checklists, O&M manuals).
- Take minutes at internal and external meetings and distribute accordingly.
- Format service proposal documents and similar client-facing materials.
- Manage administrative tasks such as timesheets, invoicing, and service reports for the division.
- Complete and submit site access permits aligned with scheduled work.
Job Coordination & Scheduling
- Coordinate and schedule service jobs with technicians within allowed timeframes.
