- The scheduler uses a tool (like telegram or discord polls) to create a poll with various options for weekly meeting times and dates.
- The work group champion assists in distributing this poll to all members of the work group.
4. Collection and Analysis of Poll Responses
- The scheduler and work group champion gather poll responses, then analyze them to find the most suitable weekly meeting time and date.
- Prioritize options that accommodate the majority of group members.
5. Setup of Recurring Meeting on NDC Public Calendar
- Once the weekly meeting time and date have been established, the scheduler creates a recurring meeting event on the NDC public calendar.
- Ensure all relevant details are included (e.g., video conferencing link, proposed agenda).
6. Preparation and Distribution of Meeting Agenda
- Collaborate with the work group champion to create a detailed meeting agenda.
- Distribute the agenda to all participants at least 24 hours before the meeting.
7. Confirmation of Attendance
- Send an attendance confirmation message 24 hours before the meeting.
