This page explains how buyers move through our process for Toolkit listings — what Yvonne (Buyer Manager) does, what you (Toolkit Manager) do, what the seller does, and how access decisions get made.

Important update (May 2026): Yvonne now owns the entire initial buyer flow end-to-end — including processing the seller's first response and granting initial access. The Toolkit Manager picks up at the bi-weekly buyer check-in and owns all post-handoff access changes.


The Buyer Flow at a Glance

Yvonne (Buyer Manager) owns the initial buyer flow:

  1. Buyer inquires — through BizBuySell or another business-for-sale portal
  2. NDA + Buyer Profile — Deal Studio sends the buyer an automated request to complete an NDA and Buyer Profile (must be up to date within the last 6 months)
  3. Buyer submits — profile data updates the buyer record in Deal Studio
  4. Yvonne screens — confirms NDA + Buyer Profile are complete and current
    1. If the buyer did not add data to the financial fields (0 or nothing), Yvonne will reach out
    2. If data is populated in the financial fields, go ahead and send buyer to seller
  5. Deal Builder Listings:
    1. Yvonne forwards the buyer profile to the seller (Not CC’ing the buyer) with a two-option reply:
  6. NON Deal Builder Listings:
    1. Yvonne approved/qualified the buyer based on listing requires
      1. Not Approved: She confirms they financial data
      2. Approved: She introduces the Buyer and Seller together in same email: including the CIM (url) and attached Buyer Profile PDF - Seller has Dropbox Data Room Link from Onboarding
  7. Yvonne creates a SELLER 3 day follow-up task. If the seller hasn't replied within 3 days, Yvonne sends a single follow-up email or SMS to the seller. One nudge only. NO BUYER FOLLOW UP REQUIRED
  8. Yvonne processes the seller's reply: — grants access at the requested level, or marks the buyer Lost.
    1. Deal Builder Listings — after the seller replies (Positive Buyer Lead), Yvonne sends two emails:

You (Toolkit Manager) take over after handoff:

  1. Bi-weekly buyer check-in email to the seller showing the current buyer list (Within Deal Builder) and each buyer's access level — see below. This is your primary buyer-process touchpoint.

  2. Ongoing access changes based on the seller's (Bi-Weekly Buyer Update) reply

    1. Give Level 2 for a buyer who already has Level 1
    2. Revoke access
    3. Re-open a previously-lost buyer.

Toolkit Principle: The Seller Decides

Under the Toolkit model, the seller decides which buyers get access. Not you. Not Yvonne.
