Session objective

Identify which matter teams are struggling with entering request work into Litify's Request tab, including records, liens, and PIP logs.

What was accomplished

• Connected to live LITIFY_ORG as sam@kylawoffice.com and kept the work read-only.
• Verified the live object and fields: litify_pm__Request__c, litify_pm__Request_Type__c, litify_pm__Matter__c, litify_pm__Requested_by__c, creator, owner, requested/received dates, and matter team through litify_pm__Matter__r.litify_pm__Default_Matter_Team__r.Name.
• Confirmed relevant request types exist in the live picklist, including PIP Log, Health Lien, Medical Records, Medical Record and Bill, Medical Bill, Records & Bills, police/camera reports, and ARC request values.
• Queried open matter counts by team, recent request counts by team, request types by team, blank Requested by, blank Request Type, open matters with no request in the last 90 days, open matters with no request in the last 30 days, and open matters with no request ever.
• Added durable local notes to docs/litify-environment-diary.md and OPS_LEDGER.md in the canonical Litify repo.

Main findings

• Team Jon & Josh had the clearest lifetime adoption gap among major teams: 22 open matters had no Request record ever.
• Team Terry had the largest recent open-matter gap: 102 of 199 open matters had no request in the last 90 days, and 159 had none in the last 30 days.
• Team Sara is a small but clear outlier: 9 of 15 open matters had no request ever, and all 15 had no request in the last 90 days.
• Team Payton and Team Nick had the biggest request-field hygiene gaps. In the last 90 days, Team Payton had 148 blank Requested by requests and 122 blank Request Type requests. Team Nick had 130 blank Requested by requests and 117 blank Request Type requests.
• Request entry appears heavily centralized or ARC-driven: Requested by = ARC Lexitas accounted for 2,428 of the last-90-day requests, while 617 recent requests had blank Requested by.

Reason for ending

The live read-only analysis answered the immediate question. No live changes were needed or made.

Suggested next steps

• Build a saved Litify report or dashboard tile showing Request-tab adoption by team: open matters with no request ever, no request in 90 days, blank request type, and blank requested-by.
• Add a weekly read-only routine that flags team-level request gaps before they become stale.
• Consider a lightweight validation rule or flow prompt for blank Request Type and blank Requested by, after confirming it will not interfere with ARC/Lexitas-created records.
