Pre-meeting Setup

• Assign an Alternative host if needed.
• Check Automatically record meeting if you will not be able to attend or just for the recording start immediately.
• If it is a large meeting, we recommend that you check the "Mute participants upon entry". This is to avoid any unwanted noise coming from the microphones of the new joiners. They will still be able to unmute to talk.

Hosting the Meeting

• If it's a large meeting, assign Co-hosts to help you manage it. Please let them know before hand that they will be Co-hosts what you need them to do.

• Use breakout rooms if you need to divide your participants into smaller groups. Think about what you want to accomplish with this and choose the appropriate option on how you would like to split them.

• Pay attention if participants forgot to mute their microphone when not talking. Host and Co-hosts can manually mute them.
• Use Polls to engage with the meeting participants.
• In Oyster, we are using the "Gallery" view by default, but feel free to "Spotlight the Video" of the speaker if someone is doing a deep-dive.

<aside> ℹ️ To spotlight a speaker to all participants, go to the participants menu, hover over the person you would like to spotlight and click more and then "Spotlight Video".

To remove the spotlight after the speaker is done, click the "Cancel the Spotlight Video" button, visible in the upper left corner of their video feed.

You can add commonly used apps like ‣ or ‣ to be used during the call from the Apps menu. This will allow you to use them directly from Zoom during the call to create tasks in Asana or initiate a collaboration in Miro.
