CONTEXT

A riverside sauna business offering a steam room, sauna, pool, relaxation zone, and additional services. Operating daily 8:00–23:00. All client bookings were processed manually through incoming Telegram messages by the admin.

Situation Before the Project

• Every booking request is handled manually — the admin typed follow-up questions for each client
• Clients sent free-form messages: date only, no duration, no guest count — incomplete data every time
• No centralised booking registry — the schedule existed only in chat history
• Double-booking risk with no calendar to cross-check
• Zero 24/7 availability — after-hours inquiries are unanswered until the next morning

PROBLEM STATEMENT

01 — Unstructured Data Collection

Clients sent booking requests in free form. The admin spent 10–15 minutes per client asking follow-up questions to gather: date, time, duration, guest count, services, name, and phone. Fully manual, fully repetitive.

02 — No Booking Registry

Bookings existed only in the Telegram chat history. No calendar, no unified record. Checking availability meant scrolling through message history. Double-booking was an active operational risk.

03 — No Instant Admin Notification
