# Privacy Policy

Captionify is designed to support on-device processing for many transcription, translation, and playback features. When using on-device models or Apple system features that run locally, your audio and transcript data may remain on your device.

Captionify also includes optional cloud-based features. If you enable certain transcription, translation, summarization, grammar explanation, vocabulary lookup, or realtime AI features, audio, transcript text, prompts, or generated output may be transmitted to Apple or to third-party providers selected by you, such as OpenAI, Google Gemini, Anthropic, Groq, or a custom compatible endpoint you configure. Which data is sent depends on the feature you use and the backend you select.

Captionify can also optionally sync saved transcripts through your iCloud account using Apple CloudKit. If you enable iCloud sync, saved transcript content, associated metadata, and, where applicable, associated saved audio recordings may be stored in your personal iCloud container so they can appear on your other devices signed into the same Apple ID.

Captionify stores API keys you provide locally in your device Keychain. Captionify does not use third-party analytics SDKs, advertising SDKs, or cross-app tracking technologies at this time. Third-party providers you enable may process submitted data under their own terms and privacy policies.

This Privacy Policy explains what information Captionify processes, how that information is used, when it may be shared, and what choices users 
## 1. Scope

This Privacy Policy applies to the Captionify iPhone app, the Captionify Apple Watch app, and any related support pages or services that link to this policy.

## 2. Summary

Captionify is designed to help users generate live captions, translations, saved transcripts, conversation-mode translations, and optional grammar explanations.

Depending on which features you use, Captionify may process microphone audio, transcript text, imported files, saved transcript metadata, saved audio recordings, and optional user-provided API keys for third-party AI services.

Some processing occurs entirely on-device. Some optional features may send audio, text, or both to Apple or to third-party AI providers if you choose to configure and use those features.

Captionify does not use third-party analytics SDKs, ad SDKs, or cross-app tracking technologies at this time.

We do not maintain our own backend for transcript or audio storage at this time.

## 3. Information We Process

### Microphone audio

Captionify may access your device microphone when you start live captioning or use Apple Watch microphone streaming.

We process microphone audio in order to:

- generate live captions
- generate translations
- support conversation mode
- optionally create saved audio recordings linked to transcripts
- support Apple Watch remote microphone streaming to the paired iPhone

If you enable audio recording, audio may be stored locally on your device as part of a saved session.

### Transcript and text content

Captionify may process text you provide or generate, including:

- live captions
- translations
- saved transcripts
- imported transcript text
- imported audio-derived transcripts
- grammar questions or follow-up prompts entered by you

We process this text to provide the features you request, such as captioning, translation, transcript saving, playback synchronization, and grammar explanations.

### Imported files

If you choose to import an audio file or user-selected file, Captionify processes the file you select to create or attach transcript content inside the app.

### Saved transcript metadata

When you save a session, Captionify may store metadata such as:

- title
- date and time
- source and target language selections
- timestamps
- speaker labels or speaker indices
- references to associated locally stored recordings

### Optional API keys

Captionify allows users to optionally enter their own API keys for supported third-party AI providers. Those keys are stored locally on the device using system-provided secure storage mechanisms such as the Keychain.

We use those keys only to authenticate requests initiated by you for optional features, such as Grammar Lesson or other user-invoked AI features.

### Device and connectivity data

Captionify may process limited device or session state information needed to make features work, such as:

- whether an Apple Watch is reachable
- whether a transcription session is active or paused
- selected language settings
- local playback position
- whether headphones are connected for audio playback behavior

This information is used only to operate app features.

## 4. How We Use Information

We use information processed through Captionify to:

- provide live captioning
- provide live or saved translation features
- support conversation mode
- save and display transcript history
- record and play back session audio if enabled
- synchronize translated playback with saved transcript timestamps
- provide Apple Watch companion functionality
- provide Japanese annotation features such as furigana, romaji, and token analysis
- provide optional grammar explanations and follow-up interactions
- troubleshoot reliability, performance, and feature behavior
- comply with applicable law and protect the security of the app

## 5. On-Device Processing

Some Captionify features may run entirely on-device, depending on device capabilities, platform APIs, selected settings, and feature availability.

Examples may include:

- local transcript storage
- local audio recording and playback
- certain speech, annotation, translation, or Apple platform language features
- Apple Watch to iPhone communication for paired-device features

On-device processing reduces the need to transmit data externally, but not every feature is purely on-device.

## 6. Optional Third-Party AI Providers

Captionify includes optional features that can use third-party AI services if you choose to configure them. These may include providers such as:

- OpenAI
- Anthropic
- Google Gemini
- Groq
- a custom OpenAI-compatible endpoint chosen by you

If you enable and use these optional features:

- the audio, text, or other content required for the feature may be sent to the provider you selected
- the provider may process that data according to its own terms and privacy policy
- your user-provided API key may be used to authenticate the request
- we do not control the independent privacy or retention practices of providers you choose

Examples of data that may be sent when you use optional AI-backed features include live microphone audio for cloud transcription or realtime features, transcript lines selected for grammar explanation, related translated text, your follow-up questions, and limited prior conversation or transcript context needed to produce the requested result.

If you use a custom endpoint, your data will be sent to the endpoint you configure.

When you use an optional third-party AI feature, requests are sent from the app to the provider you configured and are not routed through our own servers, except where required for network infrastructure not controlled by us.

You are responsible for reviewing the privacy terms of any third-party or custom AI provider you choose to use.

## 7. Sharing of Information

We do not sell your personal information.

We may share or transmit information only in the following situations:

- with third-party AI providers you choose to use for optional features
- with Apple platform services or APIs where required to perform requested functions
- between your paired Apple Watch and iPhone to support watch features
- if required by law, legal process, or valid governmental request
- to protect the rights, safety, and security of users, our services, or others

## 8. Data Storage and Retention

### Local storage on your device

Captionify is designed to store many items locally on your device, including:

- saved transcripts
- locally recorded session audio
- app settings
- selected voices and preferences
- optional API keys stored in secure local storage

We retain locally stored information until:

- you delete it in the app
- you remove the app
- your device removes app data
- you change or clear stored settings or secure credentials

### iCloud storage

If you enable iCloud sync, saved transcripts, related metadata, and, where applicable, associated saved audio recordings may also be stored in your personal iCloud account through Apple CloudKit.

Data stored in iCloud is retained according to your use of the app and your Apple account settings. Removing the app from one device may not automatically delete data already stored in iCloud. If you want iCloud-synced data removed, you may need to delete the synced content through the app while sync is enabled, or use Apple’s available account and storage management tools.

### Third-party retention

If you use optional third-party AI services, those providers may retain submitted data according to their own policies. We recommend reviewing those policies before using those features.

## 9. Your Choices

You can choose to:

- deny microphone access
- avoid using audio recording features
- avoid saving transcripts
- delete saved transcripts and associated recordings
- avoid optional AI-backed features entirely
- remove or replace stored API keys
- uninstall the app

If you do not grant certain permissions or choose not to use certain features, some parts of the app may not function.

## 10. Deletion and Access Requests

Because much of Captionify’s data is stored locally on your device, you can often delete data directly from within the app or by removing the app from your device.

If you enable iCloud sync, some saved transcripts, metadata, and associated recordings may also be stored in your iCloud account. Deleting the app from a device may not automatically remove data already stored in iCloud. You may need to delete synced content through the app while sync is enabled, or use Apple’s account and storage management tools.

If you contact us at jgregorio@kumatech.net, you may request:

- information about whether we store user data on our own systems
- deletion of any data we directly control, if applicable
- clarification about this Privacy Policy

If a third-party AI provider processes your data, requests relating to that provider’s retained data may need to be directed to that provider.

## 11. Children’s Privacy

Captionify is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through our own systems. If you believe a child has provided personal information to us, contact us at jgregorio@kumatech.net.

## 12. Security

We use reasonable administrative, technical, and organizational measures to protect information processed through Captionify. However, no method of storage or transmission is completely secure.

Users are responsible for safeguarding their own devices and any third-party API credentials they choose to enter.

## 13. International Use

If you use optional third-party AI services, your data may be processed in countries other than your own, depending on the provider you select and its infrastructure.

## 14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above and may provide additional notice where appropriate.
