A complete end-to-end client onboarding system for Poochy Coo — built across 5 tools, connected by 3 live Zapier automations.


1. Project Pipeline — Monday.com

The build was managed across a Monday.com board with 5 phases: Enquiry & Intake, Documentation & Contracts, CRM & System Setup, Welcome & Orientation, and First Week Follow-Up.

2. Client Intake Form — Google Forms

New clients complete this form at point of enquiry. Data captured: owner details, dog profile, emergency contacts, vet information, and service preferences.

3. The Automation Stack — 3 Live Zapier Zaps

Zap 1 — New intake form submitted → welcome email fires automatically

Zap 2 — Assessment passed → 3-email follow-up sequence (Day 1, Day 3, Day 7)

Zap 3 — New intake form submitted → client row added to tracker automatically

4. Client Onboarding Tracker — Google Sheets

Live operational tracker — automatically populated by Zap 3 every time a new client submits the intake form. Colour-coded by assessment status, invoice status, and credits loaded. No manual data entry required.
