Decision: keep the weekly package/test workflow local until the Sam-only scheduled test mode works through an observed cycle and remote/cloud access to V:\, Attorney Team Docs, Salesforce/Litify, Microsoft Graph, and Notion is proven. Do not create a remote duplicate scheduler yet.
Sam approved building the draft generator, mapped draft-link verifier, Sam-only test email mode, and scheduling it if it worked. Validation run 2026-06-15_full-package-send-002 generated 11 attorney-review DOCX drafts, verified 11 mapped shared links, passed DOCX text scans, and sent one Sam-only test digest through Microsoft Graph with a 202 Accepted response. The weekly Codex automation now runs .un-weekly-adjuster-update.ps1 -GenerateDrafts -SamTestEmail -SendSamTestEmail on Mondays at 7:00 AM. This remains Sam-only test mode: do not send attorney/case-manager notices until Sam separately approves promotion, and never email adjusters or send external letters from this workflow.
Sam approved allowing Exhibit A-only packages. It is acceptable for the internal review package to be letter-only if the exhibit task fails. Missing source exhibits should not block draft creation or the internal attorney/case-manager readiness notice once the draft, mapped draft link, Litify matter link, and recipient gates are verified. The package and notice must clearly disclose that source exhibits are not attached. This fallback is internal-only and does not authorize external adjuster emails or external letter sends.
Sam provided the recovery runbook pickup sequence and added a draft-only test pass requirement. This is a test-only exception, not production routing. Before attorney/case-manager notifications are enabled, run a draft-only live dry run with the test email routed to Sam only. The test email must be labeled as a test, should include the mapped draft link and Litify matter link if available, and must not CC attorneys, case managers, adjusters, groups, or broader team recipients. Production internal notices remain assigned attorney plus assigned case manager only, subject to draft, mapped draft link, Litify matter link, and recipient verification gates.
This workflow must never become automated external adjuster-letter sending. These are pre-litigation matters, so there is no defense-counsel routing lane. The primary deliverable is an internal email to the assigned attorney and assigned case manager only, after a draft exists, the mapped draft link works, the Litify matter link works, and both recipient email addresses are verified. The email should say the matter is ripe for an adjuster update, confirm the draft has been created, and include the mapped draft link plus the Litify matter link. Missing source exhibits, unresolved V: folder paths, or missing adjuster contact details are warnings for attorney/case-manager follow-up, not permission to send anything externally.
A later run superseded the Exhibit A-only fallback language on this page. Current rule: source bill PDFs or other approved source exhibits are required before any package is treated as complete; Exhibit A alone is not a substitute unless Sam explicitly approves that policy change.
