Goal: Automatically log client booking details (from an AI receptionist or chatbot) into HubSpot as a Contact and Meeting engagement.

How It Works (Zapier Flow Breakdown):

🔹 Step 1 – Trigger: Receives data from a booking form, AI receptionist, or any frontend bot (e.g., name, email, date, time, service).

🔹 Step 2 – Action: HubSpot (Find/Create Contact): Searches HubSpot by email. If contact doesn't exist, it creates a new one.

🔹 Step 3 – Action: HubSpot (Create Engagement): Creates a Meeting log with booking details (service, time, notes).

Tools Used: Zapier, Webhooks by Zapier, HubSpot

Result:

• Seamless flow from bot → CRM
• Contact is auto-created if missing
• Meeting gets logged on the contact timeline
• Notes included from customer’s original message
• Time saved for the business, no manual data entry
