A Notion workspace, a Make automation, and a documented workflow that runs without the founder in the middle. Then create seven sections, one per system.


Lead Qualification System

The problem it solves: Founders are spending hours on discovery calls with leads who were never going to convert. Time wasted before the relationship even starts.

That's why I implement a short intake form that lives in your booking link.

What it looks like when built: Every lead answers six questions before they reach your calendar. You review their answers in two minutes and already know whether to accept the call. The call becomes a conversation, not an audition.

Client Onboarding System

The problem it solves: Clients signing and hearing nothing for days. Buyer's remorse is setting in before the work even starts. Every new client is onboarded differently, depending on who has time.

What it looks like when built: The moment a contract is signed, a Make automation triggers. The client receives a personalised welcome sequence, a brand intake form, and a clear 30-day timeline without the founder touching anything manually. By the kickoff call, everything needed to deliver is already collected.

Kickoff and Scope Documentation

The problem it solves: Scope creep that starts when the original scope was never clearly defined. Conversations remembered differently three weeks later. Work done that was never agreed upon.

What it looks like when built: A kickoff document that captures agreed deliverables, revision limits, communication cadence, and a 90-day plan. Both parties sign off before a single piece of work is touched. The document becomes the reference point for every scope conversation that follows.

Delivery Infrastructure

The problem it solves: The founder is the only person who knows what every client is waiting for. Deliverables tracked in WhatsApp groups and Google Docs, nobody updates. Things fall through the cracks until a client flags it.
