Sam asked for an audit of where teams are struggling after seeing many empty values in a Litify report. The work was performed as a read-only live audit against LITIFY_ORG, focused on open matters and the report-critical fields visible in the screenshot: Active Stage, Case Manager, Legal Assistant, Case Rating, Total Damages, and Total Known Coverage.
Live Salesforce CLI readback confirmed LITIFY_ORG connected as sam@kylawoffice.com. Live Matter field mapping confirmed Active Stage as litify_pm__Matter_Stage_Activity_Formula__c, Case Manager as litify_pm__lit_Case_Manager__c, Legal Assistant as Legal_Assistant__c, Total Damages as litify_pm__Total_Damages__c, and Total Known Coverage as Minimum_Total_Min_Known_Coverage_Single__c.
The audit queried 1,208 open matters, 4,312 related open-matter insurance rows, and 4,151 related open-matter damage rows. No Litify business records or report metadata were changed.
Created the local audit report at /Users/samaguiar/Documents/Projects/Repos/sail-litify/Litify_AI_Integration_Project/docs/team-empty-field-audit-2026-06-13.md. Appended the live-org reconnaissance summary to /Users/samaguiar/Documents/Projects/Repos/sail-litify/Litify_AI_Integration_Project/docs/litify-environment-diary.md under 2026-06-13 - Open-matter team empty-field audit.
Key findings: 308 of 1,208 open matters have zero or blank Total Known Coverage, 25.5%. 239 have zero Total Damages, 19.8%. 137 have both coverage and damages zero, 11.3%. Case Rating was not a current blank-field problem in this pass, because no open matters in the audited field set had blank Case_Rating__c.
Demand Preparation is the operational priority: 182 open matters, 51 with zero coverage, 32 with zero damages, and 123 at 90+ days since incident. Treatment is the largest upstream cleanup pool: 407 open matters, 132 coverage gaps, and 135 damages gaps.
Highest overall data-gap burden by team: Austin Johnson / Jennifer Paxton, Alex Blair / Will McKenzie, Adam McDonald / Whitney Hagan, Matthew Creech / Brittany Vires, Jordan Hatfield / Kim House, Josh Hollan / Evan Hurt, Christine Tingle / Dionna Means, and Chymez Bradshaw / Jessica Pulido.
Demand Preparation specific: Austin Johnson / Jennifer Paxton has 10 Demand Prep matters with 7 coverage gaps and 4 damages gaps. Alex Blair / Will McKenzie has 30 with 14 coverage gaps. Matthew Creech / Brittany Vires has 22 with 12 coverage gaps. Josh Hollan / Evan Hurt has 8 with 5 coverage gaps and 4 damages gaps.
Coverage: the Matter total is not the main culprit. For the 308 open matters with zero or blank Total Known Coverage, 222 have insurance rows but zero Minimum Known Coverage, 72 have no insurance rows, 14 have only PIP, health, or otherwise zero-value rows, and 0 had positive insurance minimums with a zero Matter total.
Damages: 237 of 239 zero-damage matters have no related Damage rows. This is a missing Damage-entry workflow issue, not a rollup failure.
The audit is complete and live-validated. The local report and environment diary are updated. No live changes were made. The sail-litify worktree already had large pre-existing uncommitted changes from other sessions; this session only added the audit report and appended the diary entry.
The cleanest next step is to create or tune a live report/dashboard section for Treatment or later with no Damage rows and Demand Preparation with zero Total Known Coverage, grouped by Case Manager and Legal Assistant. That would turn this one-time audit into a weekly accountability surface without changing records.
