Objective

Make the firm Exchange/Outlook mailbox feel more like Gmail without POP, forwarding, or migration.

Changes Applied

• Verified target mailbox through Microsoft Graph as Sam Aguiar <Sam@kylawoffice.com>.
• Added categories: 0: owner review, 9: finance/security, 10: auto-cleared/noise, 11: legal/case watch, and 12: receipts/subscriptions.
• Patched existing Outlook rules to preserve current routing while adding category labels to calendar, KJA, demand, court-filing, EOB, RingCentral, dashboard/report, Roundtable, CallRail, Daily Unread Summary, and Clifford/UPS rules.
• Created one consolidated rule: Gmail View - Low-Risk Noise to Clutter, sequence 161, enabled, no error. It routes 23 known low-risk marketing/vendor/notification senders to Inbox/Clutter, marks them read, and assigns 4: notification, 8: marketing, and 10: auto-cleared/noise.
• Added Focused Inbox Other overrides for the same 23 low-risk senders. Existing firm-person Focused overrides were left intact.
• Tagged current high-signal messages that Graph could still resolve with owner/finance/legal categories.

Verification

• Final readback found all five new categories present, total category count 35.
• Final rule readback found Gmail View - Low-Risk Noise to Clutter, sequence 161, enabled, hasError=false.
• Final Focused override readback found 23 low-risk senders classified as other.
• Final dry-run reported categories, existing rule patches, the consolidated rule, and Focused overrides as already configured.

Outlook web's Gmail keyboard shortcut preference is a client/UI setting and was not changed through Graph. If desired, set it in Outlook web settings: keyboard shortcuts -> Gmail.
